ABW Solutions Ltd (“ABW Solutions”, “we”, “us”) respects your privacy. This policy explains what information we collect, how we use it, and the choices available to you.

Who we are

ABW Solutions Ltd is a consulting practice based in Crested Butte, Colorado. We help small businesses implement and optimize operational and financial systems.

Information we collect

Information you give us directly. When you contact us, request a consultation, or engage our services, we may collect your name, email address, phone number, business name, and any information you choose to share in the course of that communication.

Client business information. In the course of providing bookkeeping, systems, and operations consulting, we access business records belonging to our clients. This access is governed by our engagement agreement with each client, not by this policy.

Website information. Our website may collect standard technical information such as IP address, browser type, and pages visited, through our hosting provider’s standard logging.

How we use information

We use the information we collect to:

Respond to enquiries and provide the services you have requested
Communicate with you about your engagement
Meet our legal, tax, and professional record-keeping obligations
Maintain and improve our website and business operations

We do not sell personal information. We do not share personal information with third parties for their own marketing purposes.

How we share information

We share information only in these circumstances:

Service providers. We use third-party software and infrastructure providers to operate our business. These providers process information on our behalf and are bound to protect it.
Legal requirements. Where required by law, regulation, legal process, or enforceable governmental request.
With your direction. Where you have asked us to share information on your behalf.

How we protect information

We use industry-standard measures to protect information, including encrypted transmission, encrypted storage of credentials, access controls, and multi-factor authentication where available. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Retention

We retain information for as long as necessary to provide our services and to meet legal, tax, and professional obligations. When information is no longer needed, we delete or securely dispose of it.

Your choices

You may request access to, correction of, or deletion of personal information we hold about you by contacting leigh@abwsolutions.net. We will respond within a reasonable time, subject to any legal or professional obligations that require us to retain certain records.

ABW EA Agent — Google User Data

This section applies specifically to the ABW EA Agent, an internal application operated by ABW Solutions that connects to Google accounts through the Gmail API.

Who uses this application

The ABW EA Agent is an internal tool. It is used solely by ABW Solutions personnel to manage email accounts belonging to ABW Solutions and its operator. It is not offered to the public, not offered to clients, and no third party is invited to authorize it.

What Google user data we access

With your explicit consent at the time of authorization, the application accesses Gmail data using the following scopes:

gmail.modify — to read messages and to apply labels, archive messages, and move messages to Trash
gmail.compose — to create draft replies

The application does not request permission to permanently delete email, and does not use the full-mailbox-access scope.

How we use Google user data

Google user data is used exclusively to:

Sort and file incoming email according to rules defined by the account owner
Identify messages that require attention and surface them for review
Create draft replies for the account owner to review
Create corresponding task records in the account owner’s own project management system

The application does not send email on the account owner’s behalf without explicit human approval. All outbound communication requires review and authorization by a person.

How we store Google user data

OAuth credentials are stored encrypted at rest on a private server controlled by ABW Solutions.
The server is not publicly accessible for administration; administrative access is restricted to a private network.
Message content is processed in transit and is not retained in a permanent message archive by the application. Operational logs are retained only as long as needed to diagnose failures.

How we share Google user data

Message content is transmitted to Anthropic PBC for processing by its Claude language model, in order to classify messages and prepare draft responses. Anthropic processes this content as a service provider. Message content is not transmitted to any other third party.

We do not sell Google user data. We do not use Google user data for advertising. We do not use Google user data to train, develop, or improve generalized artificial intelligence or machine learning models. We do not transfer Google user data to others except as described above.

Limited Use disclosure

ABW Solutions’ use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Revoking access

Any account owner may revoke this application’s access at any time through their Google Account security settings at myaccount.google.com/permissions. Revocation takes effect immediately and stops all further access to that account.

Deletion

To request deletion of stored Google user data, contact leigh@abwsolutions.net. Stored credentials and any associated operational data will be deleted within 30 days.

Children’s privacy

Our services are directed to businesses, not to children. We do not knowingly collect personal information from anyone under 13.

Changes to this policy

We may update this policy from time to time. The “last updated” date above reflects the most recent revision. Material changes will be noted on this page.
